Documents and receipts

Create a club's documents, such as the donation receipt, design them in the builder or the designer, and choose their page size.

A document is a PDF Supporter Club makes from a design, such as a donation receipt. You design it once for the club. A workflow can then make it and attach it to an email. See Workflows and Emails.

Your club's documents

  1. Open the club.
  2. In the sidebar, select Documents.

A new club has no documents. Each document you create shows as a card with a preview image, its title, its description and "Created" with its date. A document with no description shows "There is no description for this document." With no documents, the screen says "No documents were found."

Each card has Design, which opens the document, and More, with Copy to a new document and Delete document.

Create a document

  1. On Documents, select Create a document.

  2. Under "What type of document would you like to create?", choose one:

    TypeWhat you get
Donation receiptDonation receipt for tax purposes. Opens in the designer.
Club document"Opens in the builder with a heading and body ready to edit, plus the nine sections to add more."
Blank document"Opens in the builder on an empty page — no starting content, with the nine sections ready to add."
Free-form document"Opens in the designer on an empty canvas, where you place each element yourself rather than adding ready-made sections."
  3. Select Create.

The document is created with a published version and opens in the builder or the designer, depending on its type.

Design a document

You can only change a draft. On the published version, select Edit to start one. See Versions, previewing and publishing.

The document name at the top left is a menu of the club's other documents. With none, it says "There are no other documents". It also offers Create a document.

In the builder (Club document, Blank document)

The builder works like the page builder: a Sections panel on the left, the document on a canvas, and a Settings panel on the right. Add, reorder and rename sections, delete those that can be removed, and select anything on the canvas to change its settings. Unlike the page builder, the document builder has no Duplicate or Change layout for sections. See Pages for how sections and settings work.

In the designer (Donation receipt, Free-form document)

The designer is a free canvas. On a draft, four panels open from the side:

  • Layers (N): "Design Layers", the outline of everything in the document.
  • Library (L): parts you can add.
  • Theme (T): the club's colours and fonts. See Themes, colours and logos.
  • Editor (E): the settings of the part you selected.

When you select a part, its toolbar offers Edit settings, Show this component in the layers panel, Select this component's container, ways to add a component to the container or before or after the selected one, Duplicate this component, and Delete this component where that is allowed.

The header

  • On the published version: Edit, and under More: Copy to a new document, Replace with another document's design, Reset to the latest template and View history.
  • On a draft: Publish, and under More: Copy to a new document, Document settings, View history and Discard changes.
  • Close takes you back to Documents.

Document settings

On a draft, select More, then Document settings. Change the document's Title and Description, which are shown on its card, and select Save changes.

Choose the page size

The canvas size control sets the document's page size: A3, A4, A5, Credit Card, Letter, Ticket, Ticket Wider or Ticket Stub. A4 is the default.

  • The page size you choose is saved straight away, on the version you are looking at. This works on a published version too, not only on a draft, so changing it on the published version changes the live document.
  • The PDF Supporter Club makes uses the saved page size.
  • A Donation receipt is always made as an A4 PDF, whatever page size you choose.

Copy a document

  1. Select More, then Copy to a new document, on the card or in the header.

  2. "This makes a new document from a copy of this one's latest version. Give the copy a name so you can tell them apart." Under Title, the name starts as the document's title followed by "(copy)".

Despite the wording, the copy is made from the latest published version. Changes in a draft that you haven't published aren't copied.

  3. Select Create copy.

The copy is a new document with its own published version and a draft, and the draft opens for editing.

Delete a document

  1. On the document's card, select More, then Delete document.
  2. Read the warning: "Once deleted, this document and all of its versions will be permanently removed."
  3. If a workflow uses the document, you also see In use by automations, listing them: "Deleting it will leave those automations in an invalid state." Change those workflows first if you still need them.
  4. Select Continue.
