Donation statuses

What each donation status means, what to do about it, and what each figure in a donation's Payment panel shows.

Every donation has a status. It shows in the Status column of the Donations list and on the donation's own screen. Succeeded means the payment went through, with two exceptions to keep in mind when you count money:

  • A simulated donation marked Succeeded moved no money. See Payment Simulation.
  • For PayWay and Payfast, a Succeeded donation's total includes any tip the donor added. That tip is owed to Supporter Club. See Tipping.

The statuses

AbandonedNo payment has been confirmed: the donation was still Pending more than 24 hours after it was created, the payment was cancelled at PayWay or Payfast, or PayWay or Payfast refused to take a scheduled recurring payment. See below.Nothing. Abandoned donations are kept, never deleted.
UnidentifiedThe payment provider can't account for the payment this donation records, so nobody can tell whether the supporter's money arrived. See below.Contact Supporter Club through the person or email address you dealt with when your organisation's account was set up, so the payment can be checked by hand. There is no support form in the admin.

Abandoned donations

A pending donation looks the same whether the supporter is still paying or has walked away. So once a day, Supporter Club moves every donation that is still Pending more than 24 hours after it was created to Abandoned.

On the Payment Simulation page, Failed payment does not mark the donation as Failed. It stays Pending and becomes Abandoned in the same way. See How supporters pay.

A donation also becomes Abandoned straight away, without waiting 24 hours:

  • when PayWay reports that the payment was cancelled;
  • when Payfast reports that the payment was cancelled, if the donation is still Draft or Pending;
  • when Payfast refuses a scheduled recurring payment before any card is charged, for example because it refuses your merchant details or the supporter's stored card;
  • when PayWay refuses a scheduled recurring payment before any card is charged: because it refuses your merchant details, because it rejects the payment details as invalid, or because the supporter's stored card is gone.

Abandoned is not always final. If PayWay or Payfast later confirms that the payment was taken, the donation becomes Succeeded.

Unidentified donations

A donation becomes Unidentified when:

  • Stripe has no record of the payment;
  • PayWay reports that it has no record of the payment;
  • PayWay reports that the payment was refunded before the donation was recorded as Succeeded.

If you see an Unidentified donation, contact Supporter Club, as above, so the payment can be checked by hand.

Donations you record yourself

A donation you record by hand is added as Succeeded. You can change its status when you edit it. See Donations.

The Payment panel

The screen of a donation taken online has a Payment panel. Each amount shows the currency it is in, because the parts of one donation can be in different currencies.

Processing fee amountThe processor's fee. Its hint says which kind of figure it is, below.
Payment IDThe payment's reference at the provider. Where the provider has a dashboard page for the payment, the ID links to it.

The Donation amount in the Donation panel is the same figure as Organisation's amount. If that money reached you in a currency other than your organisation's default currency, the equivalent in your default currency is shown under it.

Organisation's amount

  • Stripe: the donation less any part of the processing fee the tip didn't cover. Until the payment has settled, this is an estimate. Once it has settled, it is the amount actually transferred to your Stripe account, including any correction made when the real fee was known.
  • Simulated payments: worked out the same way as for Stripe. No real money moves.
  • PayWay and Payfast: the whole Total amount, tip included, because the provider pays the whole charge into your own account. The tip in it is owed to Supporter Club.

Processing fee amount

The hint under the figure says which it is:

  • "Estimated — not yet settled": an estimate worked out from the fee figures on the payment provider's settings. See Payment providers.
  • "What the processor took": the real fee, once the payment has settled.
  • "The processor settles its fee with the organisation directly": shown for PayWay and Payfast, with the figure "Not visible". Those providers take their fee from what they pay you, not from Supporter Club. PayWay never reports what it took. Payfast can report it, and then it is shown under Organisation's processing fee, below.

A figure of "No fee" means no fee was recorded.

Organisation's processing fee and Organisation's payout

These two extra figures appear only when the processor reported them. Only Payfast does, in its notice of the payment:

  • Organisation's processing fee: "What the processor deducted from the organisation".
  • Organisation's payout: "What the processor paid the organisation".

If the processor reported neither, the row isn't shown. That does not mean no fee was taken.
